Every term, the same spreadsheet

Timetabling a department by hand breaks in the same three places

The room is already taken

Two courses land in D-101 at 10:00 and nobody notices until the first week of classes.

One request moves everything

A teacher asks for Tuesday at 10 — and three other courses, two rooms and the exam plan shift with it.

Two departments, one lecture hall

Nursing finishes its timetable on Monday; Computer Engineering books the same hall on Tuesday. Nobody finds out until both are printed.

The fix

Stop juggling spreadsheets.

Describe the constraints once; let the scheduler do the moving. Three steps, as often as you like.

  1. 01

    Describe rooms and teachers

Add classrooms with lecture and exam capacity, teachers with their weekly availability. Both are shared across departments.

  2. 02

    Add the term’s courses

Student counts, weekly block patterns (4, 2+2, 3+1), required days and times, links to previous-year courses — entered per department and degree level (Associate, Bachelor, Master, PhD).

  3. 03

    Generate, review, accept

One click builds the weekly grid or exam calendar. Accept it to reserve its rooms and teachers for the next department.

When it does not fit

Conflicts explained, not hidden

Most tools fail silently or hand you a half-finished grid. TimetableFit places everything it can, then lists each unplaced course with the exact rule and course it collided with — and what to change.

  • Which room, teacher or linked course blocked it, and in how many slots
  • Concrete suggestions: move a pinned slot, widen availability, add a room
  • Partial result is still usable while you fix the inputs

Same system, exam week

The exam schedule, generated the same way as the course timetable

Set the exam period on the term and a daily window. Every exam keeps its own duration and starts at any step — 09:30–11:00 next to 10:30–12:30 — while rooms, teachers, linked courses and same-year courses are all kept apart.

  • Large exams split across rooms by exam capacity
  • Teacher-requested exam dates and times are honoured
  • Accepted exam schedules lock rooms for other departments too

Retake-safe

Linked courses never overlap

Students retaking a course also attend the one above it. Link BLM101 to BLM201 and the scheduler keeps both lectures and both exams apart — only adjacent years, exactly as departments need.

  • Automatic suggestions from course codes (101 → 201)
  • Applies to lectures and exams alike
  • Same-year exams never overlap either

Across departments

Accept a timetable, and other departments plan around it

Each department is planned separately for each degree level: Associate, Bachelor, Master and PhD each get their own course list and timetable. When a timetable is accepted, its rooms and teachers are reserved for that term, so the next department or level is scheduled around it automatically.

  • Shared classrooms and teachers, per-term locks
  • Drafts are archived, never deleted — restore any of them
  • Live room and teacher timetables across all departments

Everything included

Built around how university departments actually plan

The rules coordinators juggle in spreadsheets, enforced automatically.

Rooms that fit

Lecture and exam capacity, weekly availability, fixed or automatic room choice.

Teachers kept free

Availability per teacher, no double-booking, several teachers per course or split groups.

Free-form exam times

Each exam keeps its duration; 09:30–11:00 and 10:30–12:30 both work. Big exams span rooms.

Departments & degree levels

Every department is planned per degree level — Associate, Bachelor, Master and PhD — each with its own courses, timetable and exam schedule, while classrooms and teachers stay shared.

Terms

Fall, spring and summer with their own exam periods. Copy courses from the last term.

Who it is for

Made for the people who actually build the timetable

Department-level timetabling, without an enterprise rollout.

Department heads and secretaries

You own the weekly course timetable of one department. Enter the term once, generate as often as you like, accept the version you trust.

Faculty and vocational school coordinators

Several departments share the same lecture halls and labs. Accepted timetables reserve rooms, so the next department is scheduled around them.

Exam and registrar offices

Exam periods, daily windows, room capacities and same-year rules — the exam schedule follows the same inputs as the course timetable.

FAQ

Questions, answered

What happens when a course cannot be placed?

The scheduler still places everything else and marks the timetable as having conflicts. Each unplaced course lists the rule and course it collided with, plus suggestions. Fix the inputs and generate again — one credit per run.

Can several departments share the same classrooms?

Yes. Classrooms and teachers are shared across all departments and levels. Accepting a timetable reserves its rooms and teachers for that term; other departments are then scheduled around it.

How are exam times chosen?

You set the exam period on the term and a daily window in Settings (e.g. 09:00–17:00, 30-minute steps). Each exam keeps its own duration and can start at any step. Linked and same-year courses never overlap; large exams are split across rooms.

Can a teacher insist on a day and time?

Yes. Pin any block of a course to a required day and hour, or an exam to a required date and time. Pins are never moved; if they clash, the conflict is reported instead.

Do I need an account to view a shared timetable?

No. Share links open a read-only page with Excel, PDF and print. Teacher and room links always show the currently accepted schedules of that term; you can revoke any link.

How are bachelor and master courses kept apart?

Pick the department and degree level in the top bar: Associate, Bachelor, Master or PhD. Courses and timetables belong to that combination, so a master timetable only contains master courses. Rooms and teachers are shared, and accepting one level’s timetable reserves them for the others.

Is there a free university timetable generator?

Yes. Every account starts with 3 free generations — enough to schedule a real department and see the result. After that you buy credits ($9 for 10) or a term pass ($29 per department and term, unlimited runs). No credit card needed to start.

Can I import courses from Excel or my student information system?

Not yet. Courses are entered in a form (code, name, student count, weekly blocks, teachers, room) and can be copied from a previous term, so a department enters its catalogue once. Excel import is on the roadmap.

How is this different from FET, aSc Timetables or UniTime?

Those are powerful desktop or self-hosted tools built for a central timetabling office. TimetableFit runs in the browser, is set up by one department in an afternoon, explains every conflict in plain language, and lets departments share rooms by accepting timetables — no server, installation or IT project.
